How we collect, use and protect the personal information you share with us when you enquire about a property, request a valuation, or use this website.
Who we are.
Hayward & Sons is an independent estate agency registered in England and Wales (company number 07563412). Our registered office is at 18 High Street, Ely, Cambridgeshire CB7 4LJ. We are registered with the Information Commissioner’s Office under reference ZA204371.
We are the data controller for any personal information you share with us through this website or in the course of your dealings with the firm.
What we collect.
We only collect the personal data we need to do what you have asked us to do. That includes:
- Your name, email address and (optionally) telephone number when you submit an enquiry or valuation request.
- Information about a property, postcode, address, or specific listing, that you have asked us to discuss.
- Anonymised technical information from your browser (page views, approximate location, device type) used to maintain the website.
We do not buy, scrape, or otherwise acquire your personal information from any third party.
How we use it.
We use your contact information to respond to your enquiry and, where you have asked for one, to arrange and conduct a property valuation. We may also use it to send you property details that closely match a specific search you have asked us to register.
We do not operate a marketing mailing list. We will not send you newsletters, promotional updates, or third-party offers under any circumstances.
How long we keep it.
Active enquiry data is retained for as long as your enquiry is open with us. Once a matter is concluded, a property sold, a valuation declined, or a search closed, we hold your contact data for a further 24 months in case you re-engage with the firm. After this period, your personal data is deleted from our systems.
Transaction and tenancy records related to a completed sale are held for six years for legal and regulatory reasons, in line with HMRC guidance.
Who we share it with.
We share your information only where strictly necessary, and only with:
- The conveyancing solicitors and surveyors involved in a transaction you have instructed.
- HM Land Registry, HMRC, and other government bodies where required by law.
- Our IT service providers (email, file storage), under written data-processing agreements.
We do not pass your data to property portals, marketing agencies, lead aggregators, or any other third parties for their own use.
Cookies.
This website uses only essential cookies required for it to function. We do not run third-party analytics, advertising trackers, or social-media pixels. There is no consent banner because we do not place any cookies that require consent.
Your rights.
Under the UK GDPR you have the right to:
- Request a copy of the personal data we hold about you.
- Ask us to correct or update it.
- Ask us to delete it, where we no longer have a legal basis to hold it.
- Object to or restrict how we process it.
- Complain to the Information Commissioner’s Office (ico.org.uk) if you believe we have mishandled it.
